Agenda and Notes
- Indiana: Summer Enrichment Program planned to address learning loss due to covid - are using student program association with program name and type for everything summer enrichment program with student assignment.
- **See Debbie’s slides on Use Case re summer enrichment; model has number of days and another minutes but not currently coming in through API.
- Arizona student program association and attendance event are being used to capture summer enrichment program.
- IN wants to use the model for this summer with student program association but no attendance event.
- IN will use custom CSV loader with districts this year.
- AZ data validation is getting better -started this two years ago and have gone through a lot of questions - a struggle; can share issues they addressed.
- Student program association is divided into multiple tiers with program site with assignment process.
- Working on a requirement where some want to assign it at school level rather than LEA level.
- Making sure same programs define their program services but in future gong to three tier of Ed-Fi.
- Aadi will share document of level two validations.
- Arizona: It was good to have a reason/justification for why this data had to be submitted
- Used to have excel sheet process and for one year ran new one at the same time to give them time to switch to this new process; talked with a lot of SIS vendors and some such as Power School had to add summer program attendance; uses federal fiscal year and not state fiscal year
- IN has PS, Skyward and Harmony SIS vendors and has begun talking with them about summer enrichment program data - PS said they couldn’t do it so it is good to know PS worked this out in AZ
- Indiana: in the past for students taking summer school for credit we picked them up in the fall, now we have to rethink this. How are you addressing where data goes in for yearly ODS as summer programs are straddling the summer calendar. AZ has start and end date of federal fiscal for reporting - is in end of May so anything after May 29th goes into next school year.
- Guidance link being sent from Aadi to Debbie on definitions and guidelines. IN current year ODS starts on July 1; AZ’s starts June 1st to have better accuracy in student counts for funding. IN wants to have next year ODS out by June 1st as well. AZ has to open current year plus three previous years based on state law if a district requests it.
- IN is seeing a lot of virtual courses in the summer such as PE and Guidance so they are capturing data in the fall on whatever happened in the summer but this is not a long term approach - rather a workaround until they can get the current process established.
- Issue of all summer school providers are not schools - need non-school providers to keep track and be able to upload template through API one time. Exposure and intensity data in four domains - ELA, math, career readiness, SEL.
- Arizona focused on daily attendance and calculated aggregate data. IN has issue of YMCA and other community programs that are not collecting this daily data. AZ is asking for start and end time next year - not just attendance. There is a lot of additional funding for enrichment programs including summer and data must be available to receive such funding.
- Maureen’s example of DC teacher of the year saying students doing better because they have had access to computers but a lot of districts are no longer providing that service next year.
- Sayee - IN will be first one collecting summer enrichment granular data. They are the “crossroads of Ed-Fi” following state slogan of crossroads of the USA.
- Aadi will ask vendors if the AZ extension is part of their core.
- John - IN is starting a return on investment study to examine all the dollars going into education following covid and what the outcomes are. Will also be used for transformation. Will move past SIS into HR and finance systems.
- Sayee - finance work group started as a result of the ESSA finance requirements and developed finance data model (Wisconsin working to implement) and should be helpful in the IN study. Model has been expanded to do SEA chart of accounts.

- John - do we know which states have been looking at this from a legislative/statutory perspective?
