The meeting was held on 2022-11-06 at Ed-Fi Summit

Agenda

  • Introductions
  • Demo - EdNexus Transfer Tool

Notes

The EdNexus team from Oregon provided a demo of their new transfer tool they have been building. Oregon has 197 districts, and the mobility of their student population has increased over the last several years, particularly with the increase of virtual academies during the pandemic. Historically, the transfer of student information from one registrar to another across districts has been a burdensome and time consuming process. The team talked through their process of narrowing the scope of their use case to focus first on increasing the efficiency of transfers as it is not only a huge time saving measure on the side of the school offices, but ultimately because it is an equity issue - given the lag in this process, students were sometimes waiting weeks or longer to receive the services they required to be successful (e.g. MLL support services, Special Education services, mental and behavioral support services, etc.).

After demonstrating the prototype of their broker tool which reads data from the sending district and passes it through to the receiving district, they discussed where they were hoping to go next - in particular, as the tool continues to grow, they hope it will be able to learn from the inputs it receives and build in logic overtime to make the process more and more automated. Ideas were shared from the group on different approaches to consider, from continuing to build out tables and using basic if/then logic to exploring different machine learning and more predictive inferences the tool may be able to make as it becomes more sophisticated.

Continuing to review this work with an equity lens, the group asked questions about the availability of IEP, ALP, and 504 plan information, as these are often stored outside of the SIS and this level of detail is not yet mapped in Ed-Fi. The group discussed the current challenges this presents, as well as the possibility of exploring some of these datapoints more deeply to consider how they might be brought into Ed-Fi in the future.

After the EdNexus team wrapped, the group broke out into their subcommittees to continue to work on goal setting.

Action Items:

  • Subcommittees continue to align on goals
